Admin guide

Users and brand membership

  1. A platform Super Admin manages users from Settings → Users, including invites, roles, assigned brands and last sign-in.
  2. Use individual invite links rather than sharing passwords. Temporary passwords must be changed by the recipient.
  3. Assign only necessary brands and roles: Super Admin, Brand Admin, Manager, Creator or Analyst.
  4. Deactivate access when someone leaves. Soft-deleted users can be reactivated. Never remove yourself or the last active Super Admin.

Channels and public replies

  1. Connect a channel for its intended brand and check its configured status. Credentials are never displayed.
  2. Test approval and scheduling with a sandbox channel before customer publishing.
  3. Google location and reply settings belong to one brand. Confirm the location before enabling automatic replies.
  4. When a channel fails, review the error and reconnect if permissions have changed.

Security and audit

  1. Set up an authenticator in Settings → Security. Mandatory admin verification, recovery codes and fresh verification for sensitive actions remain prepared controls, not enabled guarantees.
  2. External sign-in is off by default; only a platform Super Admin may enable it.
  3. Review the Audit log by company, action and date. A CSV export is recorded before its download.
  4. Audit retention defaults to 365 days and may be configured from 90 to 2555 days by authorised company administrators.

Recovery and operations

  1. Use the recovery runbook before any restore. Export the current state first and plan a maintenance window.
  2. Daily database snapshots do not include storage files. Point-in-time recovery is not available in the current service.
  3. The owner must confirm the newest snapshot and perform an isolated restore rehearsal before relying on recovery targets.
  4. Do not make media private until all screens and publishing consumers use authorised expiring links and the cutover is approved.
